Purpose of Agreement

This Media Consent and Usage Policy Agreement (“Agreement”) is entered into by and between Urantia Association International (“Organizer”) and the undersigned participant (“Participant”) for the purpose of granting permission to record, use, and share Participant’s image, voice, and likeness captured during the course of the above-named event.

By accepting the terms of this Agreement, the Participant consents to being recorded and acknowledges that such recordings may be used for the lawful promotional, educational, and archival purposes of Urantia Association International.

Scope of Consent

Participant agrees and understands that:

a. Types of Recordings

The event may be recorded in multiple formats, including but not limited to:

Video recordings (live or pre-recorded)
Audio recordings
Photographs
Screenshots or screen captures (for virtual events)
Written or transcribed content derived from live sessions, panels, and discussions

b. Uses of Recordings

These recordings and related media may be used by Urantia Association International for purposes including, but not limited to:

Promotional content for future events
Internal and public reports
Educational and training materials
Social media publications
Inclusion in newsletters, websites, or digital archives
Public streaming and video platforms (e.g., YouTube, Vimeo)
This use may occur without further notice or compensation to the Participant.

Rights Granted

The Participant grants Urantia Association International the following non-exclusive, royalty-free, worldwide rights:

The right to use, reproduce, publish, edit, distribute, translate, publicly display, and/or publicly perform their image, voice, statements, and likeness as captured during the event.
The right to use the Participant’s first name, country, organization name, and professional title when such context is relevant and appropriate.
The right to adapt or modify recordings for clarity, brevity, or formatting purposes, without altering the intent or content of Participant’s contribution.

Waiver and Release

Participant hereby waives any rights to:

Inspect or approve the final products wherein their likeness appears
Receive compensation or royalties in connection with the use of such media
Bring any legal action against Urantia Association International for defamation, invasion of privacy, or infringement of publicity or moral rights arising from the use of such recordings

Confidentiality and Respect

Urantia Association International is committed to:

Using recordings responsibly and respectfully
Avoiding any use that may be misleading, harmful, or defamatory
Protecting the integrity of all participants’ contributions
If any content is sensitive or proprietary, participants should notify the organizers prior to or during the event to request an exemption from recording.

Opt-Out Option

Participants who do not wish to be recorded or photographed must inform the Organizer in writing prior to the start of the event at: conferences@urantia-association.org

Please note that opting out may restrict participation in some segments (e.g., panels, workshops, group discussions), particularly in hybrid or virtual formats.

Term and Revocation

This Agreement shall remain in effect indefinitely unless revoked in writing by the Participant. However, revocation shall not apply retroactively to materials already published, distributed, or produced before the date of revocation.

Acknowledgment and Acceptance

By consenting this Agreement or accepting its terms through digital registration, the Participant acknowledges that they have read, understood, and agreed to the terms and conditions of this Media Consent and Usage Policy Agreement.
